1. Introduction

Reachmerce is a product operated by Kodensoft (kodensoft.com). In these documents, “Reachmerce,” “we,” “us,” and “our” refer to Kodensoft operating the Reachmerce services.

This Privacy Policy explains how we collect, use, disclose, and protect personal information in connection with reachmerce.com, the Reachmerce CRM application, Shopify connector, APIs, early-access waitlist, and related services (collectively, the “Services”).

Where we process personal information on behalf of a business customer as a processor or service provider, that processing is also governed by our customer agreements, including the Data Processing Addendum where applicable.

2. Information we collect

We may collect information in the following categories:

• Account and profile data: name, work email, password credentials, workspace identifiers, and billing contacts.
• Early-access waitlist data: first name, email, and optional Shopify store URL.
• Shopify commerce data you connect: customers, orders, phone numbers, emails, and related store metadata synced into your workspace.
• Communications data: call recordings and transcripts (where enabled), SMS content and consent events, email campaign content and delivery events, campaign notes and summaries.
• Payment data: processed by Stripe; we receive billing status and limited invoice metadata, not full card numbers.
• Technical data: IP address, device/browser type, approximate location, logs, and cookies or similar technologies used to operate the site.

3. How we use information

We use personal information to:

• Provide, operate, and improve the Services (including AI voice, SMS, and email outreach).
• Sync and display Shopify customer and order data in your CRM workspace.
• Process subscriptions, trials, and invoices via Stripe.
• Send transactional messages and, where you opt in, product or launch emails (including early-access invites).
• Enforce our Terms, Acceptable Use Policy, and security requirements.
• Comply with law and respond to lawful requests.

4. AI voice, SMS, and email

Reachmerce may use third-party processors to deliver channels you configure: Twilio for voice and SMS, Resend (or your workspace email provider) for email, and model providers for conversational AI. Call recordings, transcripts, and message content are stored in connection with CampaignLead and related CRM records when those features are enabled.

You are responsible for obtaining required consents, honoring STOP/DNC preferences, and complying with telemarketing and privacy laws in the jurisdictions where you contact people.

5. Sharing

We share information with:

• Service providers that help us run Reachmerce (hosting, Shopify, Twilio, Stripe, Resend, analytics if enabled, and AI model providers).
• Your authorized workspace users.
• Authorities when required by law or to protect rights and safety.
• A successor entity in connection with a merger, acquisition, or asset sale, subject to appropriate protections.

6. Retention

We retain account and CRM data for as long as your workspace remains active and as needed to provide the Services. Early-access contacts remain until you unsubscribe or we delete them after launch outreach, subject to legal retention needs. Sent-email event logs from providers may have shorter retention windows (for example, provider log retention).

7. Security

We use administrative, technical, and organizational measures designed to protect personal information. See our Security page for a high-level overview. No method of transmission or storage is completely secure.

8. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to certain processing. Workspace admins control merchant customer data in the CRM. For privacy requests about Reachmerce-operated data, contact us at the address below. We may need to verify your request.

9. Children

The Services are directed to businesses and are not intended for children under 16. We do not knowingly collect personal information from children.

10. International transfers

We may process information in the United States and other countries where we or our providers operate. Where required, we use appropriate transfer mechanisms.

11. Changes

We may update this Privacy Policy from time to time. We will post the updated version with a revised effective date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy where permitted by law.
